RE: GP 2016 R2 Budget Exception Report - Security

by Derek Albaugh @ Microsoft Dynamics GP - Recent Threads

Hello Deborah,

Lisa is correct in that during upgrades of Dynamics GP, we don't overwrite user security, which is why we have scripts that need to be run for GP 2013 R2 through GP 2018, to add the new security roles and tasks to your environment after an upgrade.

If you run a dexsql.log of this permissions error, then when the error shows, look towards the end of the log file for a call to the zDP_SY10000SS_1 procedure, that usually tells us what the user doesn't have permissions to, if you can get us that information.

Thanks,

Hi Ian , Very good morning to you. Thanks for your input.  Apart from Sales and Purchases , even overheads also been charged with 5% VAT.  There are lots of daily petty expenses (like hotel bills, refreshments, repair services,  stationary and so on) been paid by the company with VAT. As i understand that GP takes cares of tax process through AP (vendor) and AR (Customer) modules ONLY. We process these type of daily petty payments through Financials--Bank Transactions module where we cann't select any tax schedule /tax id . But these transactions also has to come under TAX REPORT. Is there any way to make it happen.

Could you please guide me on that.

RE: How do I set up a new bank account for reconciliation?

by MattPaulen @ How do I set up a new bank account for reconciliation?

Is the bank account in use at all?

1) Create Checkbook ID and assign it an appropriate GL Cash Account

2) Set default checkbook to the new checkbook for the appropriate modules

3) If you are going to be cutting checks out of AP and using different check stock then it's possible the format may need to be adjusted/changed through Report Writer

4) There's also electronic banking to consider if you use those

If it is in use then you'd need to also enter in outstanding checks and deposits in transit through the bank rec module (and depending if the GL cash account had already been hit then you may need to turn off posting temporarily or delete the batch that gets created).

Reliable printing of large reports through the Web client

by Stephen Coons @ Microsoft Dynamics GP - Recent Threads

We recently upgraded from GP 2016 to GP 2016 and made the big decision to transition out entire user base (except for a very small handful) from the thick client to the web client.

The biggest issue we've run into is the printing of reports. We have users that frequently perform actions that trigger the printing of 4 or 5 reports at once, and we have check runs that are routinely 200+ pages.

I've had them try IE, Edge, Firefox, and Chrome (as well as alternate print drivers, different printers, printing to file, and printing to screen) and I just can't get the web client to handle any of these really large prints reliably.

Has anybody else faced this?

Blog Post: 2018 Trends: Growth in Service Agreements and Contract Spending

by ERP Softwareblog @ Microsoft Dynamics GP

Mid-market companies are a core part of a B2B purchasing space that Forrester estimates will reach $1.2 trillion in total spending by the year 2021 . Deloitte’s Technology in the Mid-market: Closing the Gap report documents the significant budget increases allocated to cloud and service contracts for productivity gains. Today, growing organizations like yours are dramatically increasing the percentage of total spend to secure marketing, IT, HR, accounting or legal cloud software solutions and service providers. To manage the purchase and payment of services, the accounts payable team and specific departments need to receive an invoice, track the spending against a contract or service agreement, and check the negotiated pricing, payment terms and budget before payment. Meet Ariett’s Service Contract Tracking and Payment solution to simplify your collaboration and accountability. Service Contract Tracking Integrated with Purchase to Pay: Ariett offers a seamless solution to manage vendor contracts and service agreements, helping you to track and report on key contract metrics.  Ariett captures and routes contract-related invoices for approval and issues payments linked to a contract.  Once the contract has been approved in Ariett, requisitions, purchase orders and invoices can be released against the contract, and Ariett updates the remaining contract budget.  While the details of the services provided might vary, the total contract value, payment terms and expiration date are established upfront – with the ability to always adjust the contract dates and amount by submitting a change order through approval. User-Centric Procurement & Contracts: Before realizing the end benefits of a service contract tracking solution fully integrated with your purchase to pay process, first you need to make sure employees find it easy to use, easy to collaborate with.  Ariett’s sleek, modern design helps employees navigate entering and approving a contract, requisition, invoice or payment.  Brian Green, the CFO at the Consumer Healthcare Products Association (CHPA), shares how employees were delighted by the solution, “Ariett’s interface made it extremely easy to do what we wanted to do. We found that we did not have to go into extensive training; even people who were reluctant at first were able to pick up Ariett and run with it.” Proactive Contract Budget Management: With a solution in place that employees actually like, you can start meeting your contract management goals.  Contract budget tracking helps your organization adhere to your budget and project goals.  From Ariett’s Contract Search screen, your CFO can quickly view total contract spending as well as remaining budget to date.  For a deep dive into contract details and expenses, you can generate with a click a contract budget report from our Reporting Dashboard.  If you are approaching the budget limit, your procurement team can re-evaluate the contract or address the issue through a change order. Customers like CHPA and oil and gas transporter and producer Oryx Midstream Services (Oryx) have used Ariett to successfully track contracts and budgets for research services (CHPA) and contractors (Oryx).  They have benefited from having a holistic view of their spending in relation to the contract.  For example, approvers can drill into a contract from an invoice to check that the invoice reflects the negotiated price, payment terms and scope of work. Enforce Vendor Contract Compliance: VP of Finance and CAO Karen Russell points out how Ariett has helped Oryx to ensure contract compliance, “Ariett helped us catch that the contractor wasn’t charging the correct rates, which was effective. In the future, we have additional construction plans, so I think this Contract feature will help us to select contractors.”  Oryx can leverage contract spending, budget and performance data to shop around for other contractors and service providers or renegotiate the contract. Business Alerts for Expiration Dates: To help you stay proactive with managing your service agreements and contracts, Ariett also offers business alerts.  One way to use these alerts is to set a reminder email notification to go out 90 days before a contract expires.  With this reminder, the procurement team has sufficient time to re-evaluate a contract and go out to search for other providers’ bids. Gain a Holistic View of Spending Across Entities: From the perspective of CFOs and upper-level management, the biggest gain with an integrated purchase to pay and contract platform is the additional control and global visibility.  CFOs can view service contract spending and budgets at a high level across departments and entities.  At the same time, they can easily drill into individual requisitions, purchase orders and invoices tagged to a contract to see how the transaction was coded. Ready to learn more about Ariett’s Contract Tracking solution?  Please read our guide HERE. About Ariett Ariett generates savings on every contract, requisition, invoice, expense report and payment with a unified cloud platform. Designed to work the way you work, Ariett’s easy-to-use web application delights employees by running on any mobile device or desktop. Accounting teams everywhere benefit from upfront purchasing control, global visibility to spending and audit trails, which drive cost savings across the enterprise. Need to copy an exact version of Fixed Assets Federal Book to a New Book

I've got several comments and questions.  Most important - is there a way to copy the entire book?  If not, how do I download the list of assets (I've looked at some of the reports and cant seem to get the required data)?  Also, is there a way to systematically load the Book Classes? We have 142 book classes, and entering those manually will be very time consuming.

Default accounts on unposted cash receipt transactions

by CarolynN @ Microsoft Dynamics GP - Recent Threads

Is there a way to run the default accounts for a batch of Cash Receipts transactions?

In other words, I have a batch of unposted cash receipts. I have brought them in through SmartConnect with no distribution. This was due to the issue where eConnect (and therefore SmartConnect) will not apply invoices where either the apply from or apply to document is not in the functional currency.

I was able to import the apply information another way, but now I need to run the default accounts for each transaction.

If I bring up each cash receipt and click the Distribution button, the proper distribution populates (the RM10101 for this transaction is empty before clicking the Distribution button).

I want to avoid having to open up all non-functional cash receipts and click the distribution button, so I was hoping there may be a stored procedure I can pass in each payment number and have it default the distributions.

Other than that, does anyone have any indication as to when or if eConnect will support cash application in non-functional currency? If it is entered directly into GP, this has been functional since GP2013.

Thank you.

EFT for Payables: Anyone created a solution to include 80 char free form text for the Addenda record of CCD+ file?

by atm00 @ Microsoft Dynamics GP - Recent Threads

Client is using BBVA as the bank and basically wants to be able to add free form text for each AP VOUCHER (not payment) to be included in the Addenda record of a CCD+ file.  A standard NACHA format accepts 80 characters, and the client will need close to that in many cases.  And again, it needs to be free form text, it isn't going to be just a concatenation of various fields from GP.

BBVA implied other GP customers are doing this with no issue and I just can't think of a way to make this happen out of the box.

Thanks,

GP does not upgrade security objects.  (There are scripts to add the new tasks but you'll still need to add access.)

For the new Budget Validation report, you need to add that resource to the budget tasks that should have access.

(Depending on what version you are coming from, you may want to take care of the Check Remittance report at the same time as that is another valuable report that won't be added to your upgraded security roles.)

Blog Post: The Dynamics GP Budget Wizard…Is It Enough?

by ERP Softwareblog @ Microsoft Dynamics GP

The GP Budget Wizard is an easy-to-use out-of-the-box budgeting tool that integrates seamlessly with Microsoft Excel, but is it really providing enough ROI for your team to keep using it? Let's review the pros and cons: Pro: Free. The wizard comes standard in any Dynamics GP software purchase Con: Free is not always better. When budgets start to become cumbersome with multiple templates and numerous managers entering data, the budget wizard provides a nonexistent ROI (considering your time to be a valuable investment). There are a number of tools and solutions in the Dynamics community that will provide levels of automated functionality. You just need to find a balance between the price tag and the level of automation that your company needs. Pro: It can help create budget templates Con: Unfortunately for most, budget templates are often not standard across departments. Managers use different metrics for KPIs. As the variation in templates increase, so do time and effort put in by the accounting team. Pro: Seamlessly integrates with excel Con: *Only if the data is molded to fit the GP Wizard import template. This process becomes more cumbersome as your templates, data, and managers increase in size and complexity. This opens the door to copying and pasting from template to template, linking workbooks, and increased hours spent reconciling. To summarize, the budget wizard is easy to use, but quite frankly most of the time it is just too simple. If this type of simplicity fits your process, then keep on with the Wizard. However, if you need something more to streamline your process and start saving time, you may want to consider Full Circle Budget . RE: Reliable printing of large reports through the Web client

I was afraid you'd say that. Unhandled script exception error

by bfaris9 @ Microsoft Dynamics GP - Recent Threads

When we ran the GL for the fixed asset additions, an item posted through A/P without a Vendor ID or Vendor Name.  When I tried to drill down to view it, an error window popped up:

Unhandled script exception:
Index 0 of array 'PM Transaction Abbreviation' is out of range in
script 'PM_Transaction_Inquiry_Scroll_FILL'. Script Terminated.

I checked to see if the Document Type was set to 0 or null, but it's not, it shows accurately as an Invoice.  Any suggestions?

Looking for someone who can help with an integration - I cant get rid of Error: DOC 2 ERROR: Object '38001' already exists -- cannot Insert.

by TJSamerica @ Microsoft Dynamics GP - Recent Threads

I am trying to insert invoice details in the Distribution sections of the Receivables Transaction and I cant make the error go away.

We are importing a csv from Highjump Prophesy, a trucking management software platform, but only exports a csv designed for Quickbooks so we are havng to create some data with a JS script a friend wrote for me.

We are trying to insert the Invoice number, total for the invoice, then the breakdown of the charges, usually two lines but sometimes more with their attached account codes.

It sounds and seems very simple but im stuck, any help would be appreciated.

Need to copy an exact version of Fixed Assets Federal Book to a New Book

by LisaM89 @ Microsoft Dynamics GP - Recent Threads

I am new to GP and then first request I've been asked to create a new book that is an exact copy of the Federal book in Fixed Assets.  I've been told that I need to 1) create the new book, 2) create the Book Classes, 3) load the assets.

Thank you in advance for any guidance.

RE: Number lock turning off when using GP 2015

by VictoriaYudin @ Microsoft Dynamics GP - Recent Threads

The only time I have seen the number lock turn off on its own is when I am connecting to other computers or networks remotely. I connect to many different customer environments every day and if I had to put a number on it, I would say it happens about 20 to 30% of the time.

Basically what happens is that once I am connected remotely my local number lock gets turned off. Disconnecting does not turn it back on, I have to do it manually.

Are you able to narrow it down local vs. remote users of GP?

If you're finding this happens in the middle of data entry, my gut would say there is something causing it that is not out-of-the-box in GP. Only because number lock is pretty widely used by accountants and we would have been hearing people scream about it by now.

So if it IS happening in the middle of data entry, do you have customizations or 3rd party products installed? What else is running on the computer when this happens?

PR Postings hitting the wrong GL account even though correct

by NOLA @ Microsoft Dynamics GP - Recent Threads

The employee’s check is correct, including the deduction amounts, the benefit amounts, the tax amounts, and the net pay. Has anyone seen the amounts post to the wrong accounts even though the setup is correct? Several People  have verified the setup and the Test company supposedly works, just not live. It also is supposedly working in their other entity.

However, the JE Distribution has the following errors:

  • FICA and FICA med Expense are doubled when booking to the expense account (even though the employee amount is correct on the check). The accrued FICA entry account and amount is correct does not include the overage.

  • The Accrued Benefit amount is reducing the salary expense entry rather than posting to the correct account.

Blog Post: Fall in Love with these new features in Microsoft Dynamics GP 2018

by ERP Softwareblog @ Microsoft Dynamics GP

Microsoft Dynamics GP 2018 was released last December and now is the perfect time to start planning for your upgrade. This latest version includes a variety of updates that improve user experience and incorporate new features most requested by current GP users. Below are the top five features you’re going to fall in love with in Microsoft Dynamics GP 2018. Option to Roll Down Payroll Set up Options to Inactive Records Now, when you want to make changes to your payroll setup options, you can exclude inactive employees from your changes. Through this feature, changes are rolled down only to active employee records. Depending on the size of your company and the number of past employees you have, this could save you a substantial amount of time. This feature will work with pay code, deduction, or benefit. 2. New sorting options in a variety of different windows There is nothing worse than having to drill into window after window searching for the information you’re looking for. Microsoft Dynamics GP 2018 includes several different new sort and search features that allow you to find the information you’re looking for quickly. You can now query by: Receivables Transaction Inquiry by Customer Receivables Transaction Inquiry by Document Receivables Transaction Inquiry Sort by Options Type Document number Document amount Amount remaining Document date Payables Transaction Inquiry by Vendor Payables Transaction Inquiry by Document Payables Transaction Inquiry Sort by Options Document number Type Original amount Unapplied amount 3.  Additional windows now allow for document and note attachments. If you had not been previously using Doc Attach, you’ll need to set it up within Dynamics GP by going to Tools > Setup > Company > Document Attachment. Mark “allow document attachments” and “Allow Attachments to be added in inquiry windows” and you’re ready to go. The following inquiry windows now allow document attachments: Employee inquiry I-9 Form Fixed Asset Inquiry Notes can be added in these windows: Vendor inquiry Customer inquiry Project Inquiry PA Project Inquiry 4. Ability to Print and Email a Single Statement from the customer card This feature is pretty self-explanatory, but adds in a layer of convenience that users didn’t have before. You can access a customer statement by going to Customer Maintenance > Cards > Sales > Customer > Print > Statement. From there, you have the option to select the statement and print or email as a PDF. 5. Updates to the web client The Web Client is an important feature in GP that allows users to access GP from any computer, anywhere. Thankfully the new GP update includes a handful of improvements to the Web Client. Autocomplete – If there are any previously entered valued on a field, users will now be presented with a drop-down menu matching the partially entered value. Items can be clicked on the drop-down menu, and the full value will be autocompleted on to the field. The same thing can be accomplished via the cursor key and the enter key on the keyboard. One Click Access to SmartList – At the top right of the Web Client window is a link to open SmartLists. Bank Reconciliation Window – You now have a better view of transactions within the bank rec window, which reduces the amount of scrolling needed to find transactions.   There are plenty more new features in Microsoft Dynamics GP. You can view the whole list and information about each here.    If you’re currently using Microsoft Dynamics GP and would like assistance on your upgrade, please let us know. We’re happy to help get you up and running on the latest version of GP.   If you’re considering if GP is right for your company, you can read customer success stories here.  By Sabrina Zimara, Marketing Related Posts The Hits Keep Coming for New Microsoft Dynamics GP 2013! If it is working in test but not live and they are truly an exact copy of each other, then I would also make sure that you are testing on the same workstation for both companies. They could be running on different code folders and one may have a customization or product installed that the other does not. Also, when you said other 'entity' are you talking about the Third Party Binary Stream/Multi Entity Management? If so I would recommend ruling that out by running the process on a clean install of GP without Third Parties. That is if you can replicate on a company besides your live one. Is this something that occurs every time or was it a one time issue? Blog Post: 4 Reasons Why an End-of-Life Operating System is Not the End of the World

by ERP Softwareblog @ Microsoft Dynamics GP

In many business settings, when an operating system (OS) nears or reaches the manufacturer’s end of support, there’s no question about whether to upgrade. Among other things, an unsupported desktop, laptop or mobile OS could present financial and security risks for its users, not to mention new features companies would miss out on by not upgrading. Businesses that utilize warehouse management operating systems should still consider those risks. However, an OS used on a warehouse device, such as a mobile computer is different from others, and those differences are worth considering when weighing whether to upgrade end-of-life technology. When operating systems for warehouse mobile computers creep near or surpasses their end-of-life support, they can still be as useful as they were when they were supported. Here are a few compelling reasons why operating systems designed for mobile devices don’t necessarily need to replaced immediately once their service support runs out: 1. Warehouse operating systems are purpose-built Operating systems used on mobile devices found in warehouses are much different than the operating systems that companies use in their offices. Operating systems that operate on mobile handheld scanners with a built-in onboard computer are designed for a specific purpose. These devices and software are used to manage inventory and scan barcodes, as well as perform shipping and receiving activities. Once configured for these functions, their purpose remains the same and doesn’t need to change. In this way, an unsupported OS doesn’t present a real challenge for warehouse management, as it is a purpose-built asset. Ongoing support isn’t needed like it is for traditional desktop operating systems that must connect and interact with rapidly changing applications and platforms. Warehouse operating systems aren’t the same as traditional office operating systems. These purpose-built assets don’t need to be updated as soon as they lose support. 2. Staying with your OS supports a low TCO A priority for business managers is the total cost of ownership (TCO) of any asset being utilized for operations. Keeping TCO as low as possible is an objective any business can get behind, and often the price attached to upgrading an OS doesn’t align with the goal of maintaining a low TCO. In fact,  a survey from Commonwealth Supply Chain Advisors  found that 28 percent of businesses avoid updating their warehouse management system because of the cost. Another 28 percent noted that the “perceived benefit” of updating simply isn’t worth the price. One vice president of engineering from a warehouse distribution company who participated in the poll articulated this reasoning best: “There is a general feeling that these [implementation] projects take twice as long as proposed, the cost will probably double, and there will be major service disruptions along the way. There are plenty of stories out there of companies that struggled with these projects.” In many instances, replacing an end-of-life system isn’t worth the cost or the possible challenge. 3. Don’t give in to manufacturer hype An outdated mobile computer OS could pose a security risk. But sometimes when manufacturers end support for older systems, they use the situation to guide users toward the latest version. Vendors often fan the flames when it comes to the fear, uncertainty, and doubt of using an unsupported system as a way to attract users to their newly released product, even though that product isn’t much different to its previous iterations. If you do decide to upgrade your mobile computer OS, make that decision based on cold, hard facts related to the security of your data, the efficiency of your operations, etc., not marketing ploys and scare tactics. 4. You aren’t alone Lots of companies keep an end-of-life mobile computer OS in place. Doing so has become an increasingly popular approach for warehouse managers seeking to maintain low TCO while ensuring employees have the tools they need. One such example is Windows CE 5. This OS has been a mainstay in the warehouse distribution industry for years. Businesses in 2018 rely on CE 5 even though Microsoft support for it ended in late 2009. Forum Post: RE: Substitute Items in Kit Components

by Isaac Olson @ Microsoft Dynamics GP

Hi Deborah, I am not finding a functionality available to automatically pop up those suggested items for kit components when they are short on quantity. There could potentially be a Third Party or customization that would do that. Thanks, Microsoft Support

Dyn GP: How to print Financial Trial Balance as of specific date (and time)?

by BrainMan @ Microsoft Dynamics GP - Recent Threads

We printed a 12/31/2017 balance sheet (in FRx) on 1/14/2018, but did not print the Financial Trial Balance along with it.

Now, when we print the Financial TB, the AP account doesn't match the financial statement.  How can we print a financial TB as if we were printing it on 1/14/2018?  We need to print a TB that matches the Balance Sheet.

Thanks!

How to Keep a Dog Off the Couch

How to Keep a Dog Off the Couch

by @ How to of the Day

If you're tired of your dog jumping on the couch, it's time to train your dog to stay off the couch. Start by setting out a comfortable dog bed or a piece of furniture that is only for your dog and offer treats to encourage your dog to enjoy its own bed. You may want to protect your couch with a cover while your dog learns to stay off of it. With a little training, your dog will be off the couch and in its own space in no time!
